NEW POSITIONS

Staff Accountant
The primary purpose of this position is to assist in the preparation of month end closing activities, conduct account reconciliations, and perform analysis; perform research and analysis in support of efforts to improve processes and reduce costs; improve processes by identifying and implementing improvement opportunities.

Principle duties and responsibilities are to serve as an internal resource to other staff within the department; prepare financial analyses of operations, including interim and audited financial statements and supporting schedules for the guidance of management. He/she will prepare timely and accurate financial reports for senior management; prepare and input journal entries; perform reconciliation and analysis of accounting information; and provide ad-hoc support to department. This accountant assist with other month-end closing functions; provide variance analysis and forecast information to operations management teams; perform other related duties and prepare other reports and schedules as assigned.

The qualified candidate will possess 3-5 years related accounting experience; a Bachelors Degree in Accounting; good writing & communication skills; and proficiency in Microsoft Office applications, including thorough knowledge of Excel. Experience working in high-volume transactional environment preferred.

Training Manager  
The primary purpose of this position is to plan, coordinate and participate in effective and engaging trainings for the Food Bank’s nutrition education program. Working with the Sr. Manager of Education and program staff, the Training Manager will implement trainings for a variety of audiences.

Principal duties are coordinate trainings for education programs, including securing event space, equipment and materials, planning layout and flow of activities and assist with registration process; work with program staff to implement trainings for diverse audiences including educators, youth and internal staff, including providing event oversight and leading workshops or training activities as needed and coordinate and maintain relationships with external partners and consultants. He/she will provide input as needed into development of training curricula; work with evaluation staff to develop outcome evaluation tools to monitor the effectiveness of trainings and make adjustments as needed. This manager will serve as an organizational representative at trainings, external meetings and forums as well as work with internal staff and outside consultants to design, layout and publish training materials. He/she will perform additional duties as assigned.

The qualified candidate will have three to five years of direct experience with event coordination, and experience with training and education, preferably in the area of poverty. A bachelor’s degree, excellent oral and written communication skills, experience with training/event coordination and public speaking as well as  Proficiency in all MS office applications are required. He/she will have demonstrated project management experience with the flexibility to work independently as well as collaboratively; detail oriented and strong organizational skills and the ability to handle multiple projects and assignments with a high degree of professionalism. A Master’s degree, interest and familiarity with food poverty and nutrition policy, fluency in Spanish and/or other languages are a plus. A background in training diverse age groups and learning styles, in both classroom and community settings preferred.

Office Assistant
The primary purpose of this position is to provide professional administrative support to the Executive Administrative Assistant and the Office of the CEO and Chief of Staff.

The principle duties and responsibilities are to maintain Outlook calendars for Executive Office staff; answer telephones, direct calls and take messages; develop and maintain electronic and paper filing systems; review files, records, and other documents to obtain information to respond to requests. This assistant will operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers; compute, record, and proofread data and other information; process and prepare documents, such as business or government forms and expense reports; prepare meeting agendas, attend meetings, and record and transcribe minutes; and make travel arrangements for office personnel. He/she will maintain inventory and order materials, supplies, and services; deliver messages and run errands; assist with supervising volunteers & interns and perform other duties as assigned.

The qualified candidate will possess Associate’s Degree, be resourceful and anticipatory; have strong computer skills in MS office XP 2000 – including Work, Excel, Internet, PowerPoint and Outlook and be able to take instructions and take accurate and detailed notes. He/she will have excellent oral and written communication skills; a professional demeanor, skilled at maintaining confidentiality; a strong capacity in prioritization and committed to meet deadlines of multiple projects and be able to work independently and in a team environment. BA or BS degree preferred.

Marketing and Fundraising Assistant
The primary purpose of this job is to provide professional administrative support for the Vice President of Marketing and Business Partnerships and Vice President of Fund Development to support the strategic goals of  the Marketing, Business Partnerships and Fund Development Divisions.

Principle duties and responsibilities are to provide support to the Vice Presidents, maintain their calendars, schedule appointments, answer phones and keep accurate records of internal and external communications; coordinate monthly reports and board slides presentations for both divisions; organize and maintain all materials (publications, exhibits, etc) and ensure that paper and computer files are archived in consistent ways, both on-site, off-site and on shared computer drives; and liaise with Payroll, HR and Accounting depts. He/she will support team in maintaining major donor moves, manage calendar, projections and tickler system; Coordinate all aspects of mailings to major donors and marketing partners, including requesting data, ensuring data quality, merging data, ensuring timely mailing, writing thank you notes and follow up letters to event guests. This assistant will monitor news outlets for articles related to the Food bank; assist in research related to events, corporate partners, and other non profits; coordinate and prepare press packets and perform all other assigned duties.

The qualified candidate will possess a BA or BS degree and prior experience supporting Fundraising/ Marketing efforts; have solid work experience with stable work history; be resourceful and anticipatory and able to work cooperatively with other departments. He/she will have outstanding planning, written and oral communication, time management and organizational skills; Raisers Edge or equivalent CRM experience as well as strong computer skills: MS Office XP – including Work, Excel, PowerPoint; Outlook and Internet. Ability to take instructions, accurate and detailed notes, prioritize ongoing vs. immediate needs and work well under pressure to meet deadlines is required.

ACCOUNTING AND FINANCE

Comptroller
The Comptroller assists the Chief Financial Officer (CFO) with the daily financial affairs of the organization and with preparation of financial analyses of operations, including interim and final financial statements with supporting schedules, for the guidance of management.  This position oversees daily activities of the Accounting Department relating to the accurate and timely processing of accounts payable, accounts receivable, purchase orders, petty cash, employee expense reports, cash control and payroll processing.  The Comptroller establishes and maintains systems and controls that verify the integrity of all accounting systems, processes, and data.

The Comptroller bears primary responsibility for monthly closings, general and subsidiary ledger journal entries, and accurate and timely monthly internal financial operating reports.  The Comptroller assists the CFO with document preparation and account analysis to assure timely and accurate completion of annual audits, tax reports and other financial information.  S/he assists the CFO with the budget preparation process and with physical inventories and reconciliation.  The Comptroller supervises the Senior Staff Accountant, the Staff Accountant, the Accounts Payable Manager, the Accounts Payable Associate, Accounts Receivable Associate, and the Payroll Coordinator.
 
The successful candidate will possess a an advanced degree in Accounting (CPA a plus) and have seven to ten years of experience in finance and/or accounting with a minimum of three years non-profit experience as a Comptroller dealing with operating budgets over $10 million.  S/he will have expertise in accounting, financial reporting, audits, and government contracts.  The Comptroller must have excellent communication and organizational skills and have significant prior supervisory experience.  S/he will be proficient with computerized accounting programs and MS Office.

Payroll Coordinator
The Payroll Coordinator is responsible for timely processing of a biweekly payroll and related accounting functions.  These duties are performed to the highest possible standard of excellence, transparency and compliance with all external regulations, accounting and fiscal management standard, internal policies and procedures.
 
Principal duties are to gather, organize and review employee timesheets and electronic time keeping records to ensure that they are in compliance with organization policy and procedures; perform payroll data entry processing, including hours worked, paid leave taken, compensation changes, deductions, exemption and withholding changes, direct deposit changes and any other payroll related actions requested by or through the Human Resources Staff; and transmit payroll electronically to ADP Payroll interface system in a timely manner. The Coordinator will track and reconcile paid vacations, sick leave, and personal day balances; process pension enrollments, withdrawals, employer matches; and prepare and process manual payroll checks as requested. He/she will maintain well-organized payroll records, files and any payroll related documents; assist employees with payroll related questions and issues; provide other administrative support to the Accounting Department. Perform other duties as assigned.

The qualified candidate will possess a minimum of 3 years experience in payroll. He/she will have some experience in accounts payable; be detailed-oriented, organized and able to multi-task as well as maintain absolute objectivity and confidentiality with all employees and payroll related data. Proficiency in Microsoft office applications; particularly Excel; strong organizational and communication skills and ability to work in a fast-paced, deadline-driven environment required. Bachelors degree in accounting or related field, accounts receivable and/or accounting analysis strongly preferred.

COMMUNICATIONS AND MARKETING

Director of Communications and Marketing
This position is responsible for directing a comprehensive communications and marketing plan across all divisions of the Food Bank.  Major areas of responsibility include marketing research, brand integration, advertising/PSAs, publications, speeches, social marketing campaigns, media relations, cause-marketing initiatives and campaign/event promotions. 

Principal duties will be to oversee the organization’s media relations strategy and implementation to ensure maximum visibility for the Food Bank and food poverty issue in NYC; to supervise the creation, production and distribution of Food Bank communications materials including newsletters, public education materials, fact sheets, annual reports, internal messaging guide; to supervise the direction and implementation of the Food Bank’s social marketing campaigns and marketing/media partnerships for major events; to coordinate with staff on public speaking opportunities for the CEO, senior staff and board, including creation of speeches, management of event logistics and preparation of presentations; to manage the day-to-day activities and responsibilities of the department, including all staff supervision, performance management, recruitment and professional training and to support the staff in their work through high-level coordination and supervision of projects and the creation and maintenance of systems and procedures within the department to ensure optimal overall performance.
The successful candidate will possess a Bachelor’s degree (an advanced degree and/or undergraduate major in Communications and Marketing desirable); have at least seven years of senior level experience developing & directing comprehensive marketing & communications plans; have a record of success as a marketing and communications executive with the ability to effectively create and implement effective plans in media relations, marketing; have demonstrated success and acumen in managing, mentoring, and motivating staff; possess outstanding oral & written communication skills with experience in publication layout/production speech writing; possess excellent organizational skills with a proven reputation for attention to detail; demonstrate superior interpersonal skills with the ability to project professional competence, leadership capability, & personal maturity; and have excellent knowledge of Word, Excel, PowerPoint and PhotoShop.
